An Agent That Reasons, Not a Bot That Recites
Most CRM-native AI runs a script and hopes the lead stays on it. CloseBot agents think before they reply, move when the conversation moves, and tell you when they don't know.
An AI sales agent is software that holds the sales conversation itself. It replies to a new lead, asks the qualifying questions, answers objections, follows up when the lead goes quiet and books the appointment on a calendar. It is the job a human SDR, BDR or appointment setter does, run by AI, 24 hours a day.
Nothing meaningful. AI SDR, AI BDR, AI setter and AI sales agent are four names for the same job. The difference that actually matters is chatbot versus agent: a chatbot answers questions from a script, while an agent reasons about the conversation and takes actions, like checking a calendar, writing a field back to your CRM and booking the meeting.
An agent. The CloseBot Agent Node is given instructions and a set of tools, then works out the conversational path on its own rather than following a fixed script. G2 named CloseBot one of the Top 50 Agentic AI Tools worldwide in its 2026 awards.
It replaces the part of the job that is speed and repetition: the first reply, the qualifying questions, the follow-up and the booking, at any hour. People stay for the parts that need judgement. In a head-to-head against human setters, DM Automation Agency's AI set more appointments while staff moved to supervising it, cutting manual work by about 90%.
No. CloseBot is a text sales agent. It works in every text channel your CRM already supports, which typically means SMS, email, web chat, Facebook Messenger, Instagram DM and WhatsApp. If you need voice, run it alongside CloseBot rather than instead of it. Any voice AI provider works with CloseBot by saving transcripts to the contact fields for CloseBot to read.
Reply to a lead, qualify them against your criteria, work around objections, answer questions from your knowledge base, follow up on a cadence you set, check calendar availability, book, cancel and reschedule appointments, update CRM fields, add tags in HighLevel or lists in HubSpot, send an email, and call any outside system through a custom tool.
Yes, and it is one of the reasons to use an agent rather than a chatbot. The Agent Node reads where the conversation has actually gone and responds to it, so a lead who says "that sounds expensive" gets an answer rather than the next scripted question. You control what it is allowed to do while it does that by toggling its tools on and off.
Within seconds by default, at any hour. If instant feels too fast for the channel, each persona has a reply-time setting: Realistic at 20 to 45 seconds, Slow at 45 to 90 seconds, Random between 5 and 120 seconds, or a fixed delay you choose yourself.
Yes. The agent checks your connected calendar for open slots, offers times conversationally, and creates the event once the lead's availability and the calendar line up. It uses the contact's timezone if your CRM has one and falls back to the source's timezone if not. If the calendar has nothing open or does not respond, it can tag the contact so you know.
Yes. Conversational rescheduling is switched off by default and turned on in Job Flow Settings, after which the agent can reschedule any appointment it finds for that contact. Cancel and reschedule are also available as tools on an Agent Node.
Yes. You can run up to four different follow-up cadences per job flow, each with its own timing and its own extra instructions, and an agent can switch a lead between cadences based on how they behave. The rules reset the moment a lead replies, and CloseBot respects your source's follow-up windows so nobody gets a message at 2am or on a Sunday.
Yes. Inbound replies run 24/7, which is most of the point, since a lead who fills in a form at 11pm is answered at 11pm. Outbound follow-ups are the exception: those obey the availability windows set on the source.
Both. Database reactivation is one of the strongest uses for it, because the audience already knows who you are. Eric McAvoy ran a reactivation sprint against 200 to 300 dormant TikTok leads and added roughly $1,000 in MRR off $1 of ad spend. For reactivation specifically it is worth adding the Aggression Detected branch, since cold lists produce more hostile replies.
The text channels your connected account already supports, which usually means SMS, email, web chat, Facebook Messenger, Instagram DM and WhatsApp. CloseBot does not reconnect those channels itself, it piggybacks on the ones your CRM already owns, so there is nothing to re-authorise per channel.
